Structure Optimalisation
Within the maintenance department of a housing association, the need arose for greater clarity, oversight, and organizational effectiveness. The existing structure placed significant pressure on team leaders, created ambiguity around roles and responsibilities, and resulted in numerous handover points between teams. This increased the risk of delays, inefficiencies, and a lack of ownership.
To address these challenges, an interim professional was engaged to assess the organizational structure and identify opportunities for improvement. The assignment focused not only on the formal organizational design but also on understanding how work was carried out in practice. Through interviews, workshops, and in-depth analysis of processes, roles, and responsibilities, key bottlenecks and development opportunities were identified.
A collaborative approach involving employees and managers provided valuable insights into critical questions such as strengthening collaboration between teams, increasing ownership and accountability, and enabling employees to contribute at their full potential. This process not only generated a clear understanding of the challenges but also created broad support for the proposed direction.
Based on the findings, four future-state scenarios were developed. Each scenario offered different solutions for topics such as span of control, role clarity, cross-functional collaboration, and project accountability. Following a thorough assessment against organizational objectives and operational needs, one preferred direction clearly emerged: a structure in which functions are grouped more logically, responsibilities are clearly assigned, and expertise is utilized more effectively.
The outcome was more than a new organizational chart. The process created momentum, strengthened alignment across the department, and established a shared vision for the future. By providing an independent perspective and structured approach, the interim professional helped lay the foundation for a maintenance organization where teams collaborate more effectively, responsibilities are clearly defined, and employees are empowered to take ownership. The result is a future-ready department, better equipped to meet the challenges of tomorrow.
